As you may be aware, in the spring of 2021 the college began working with Dynamic Forms, a NextGen Web Solutions product that delivers interactive, electronic forms and allows for legal e-signatures and workflows.
Over the summer, we worked with Human Resources and the Payroll Office to pilot the new electronic Payroll Authorization form with the Athletics Department (a special thanks to all who were involved in the process, especially Stephanie, Justin, and VP Coplin).
Now, we are excited to announce that the new electronic Payroll Authorization will be released to the entire campus, including the EOC, on Monday, Nov. 15.
While completing the electronic Payroll Authorization form in the new system requires no training, there are some important things to keep in mind when comparing how the college used to use the PDF version of this form:
- Once a form is submitted by the initiator, completed fields are not able to be changed by others. Those involved in the review and sign-off process should use the “Return for Revision” button and provide comments on what needs to be corrected by the form initiator. For example: If the form initiator lists the incorrect FOAPAL code on the form, it will be returned for revision and the workflow will start over.
- You will no longer need to download the PDF and manually route the form onto the next phase. Workflows have been set up to do this automatically.
- You will be able to check on the status of any form you initiate or sign off on through the Dynamic Forms Dashboard. A link to the dashboard will be added to the Faculty & Staff webpage.
- You will have easy access to download a PDF of any forms you initiate or sign off on, if you choose.
Helpful tooltips and links, including a link to the Salary Organization, Program and Account Codes, are now provided in the form.
